Construction Administrator I

The Construction Administrator I serves as a reliable liaison between the design team, the owner, and the contractor and is responsible for administering the construction contract for projects small to medium in size, complexity, and of various construction types. Assists more senior Construction Administration personnel on providing Construction Phase services on a variety of projects, leading to providing those services individually on smaller projects. Assists and carries out construction phase services including jobsite visits, submittal review, RFI responses, pay application review and project close out. Works directly with the project manager, architects, consultants, and other technical personnel in understanding and effectively interpreting the Contract Documents and provides support for changes to those documents during construction. Gains a working knowledge of project management systems. Accepts instruction and mentoring from more senior CA staff. Can act as the primary liaison to the client to bring the schedule, budgets, and scope of work to completion and to the client’s satisfaction. Actively manages client’s budgets, schedules, and programs; project communications and documentation; office administrative tasks; and team assignments. Must act as a team leader in collaboration with Project Interior Designer and Project Designer to directly supervise the team’s design and technical delivery. Project size and complexity differentiates this position from the Senior Interior Project Manager level.

ESSENTIAL DUTIES + RESPONSIBILITIES

  • Communication:

    • Communicate effectively and work collaboratively with all “stakeholders” (such as owners, project managers and other staff, consultants, contractors, vendors, and others) in a proactive integrated project-delivery process throughout all project phases to achieve client, project and internal firm goals.

    • Develop and deliver progress reports, proposals, required documents and presentations to various audiences, including project team, and client relationships.

    • Frequently communicates with team/peers on assignments, questions, progress, and completion of tasks

  • Teamwork:

    • Provides leadership for a project team by building and motivating team members to meet project goals, adhering to their responsibilities and project milestones.

    • Determines staffing needs, deadlines, and internal expertise to make the project a success.

    • Delegate tasks and responsibilities to appropriate personnel  

    • Collaborate, support, and mentor staff with-in a team-building work environment, where team members have fun while effectively working together toward meeting internal performance and client objectives.

  • Proposals:

    • Assists in preparing proposals and reviewing contracts for small to large projects.

    • Assists in determining project-specific information including overall project scope, fee estimating, and project scheduling.

    • Involved in business development by maintaining existing client relationships and foster new relationships.

  • Project Management:

    • Develops project work plans, including staffing, and oversees/plans all architectural aspects of construction projects from Concept / Schematic Design Phase through Construction Administration.

    • Delegate tasks and responsibilities to appropriate personnel, ensuring individual job assignments are completed timely and consistent with project requirements.

    • Proven ability to conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities.

    • Monitor, track and control outcomes to resolve issues, conflicts, dependencies and critical path deliverables.

    • Involved with client budgets, schedules, and programs; project communication and documentation; office administrative tasks; and project team assignments to ensure the most efficient and cost-effective execution of all assigned projects.

  • Project Involvement:

    • Assists in managing ongoing quality control and participates in quality issue resolution.

    • Schedules and attends all client meetings and documents those meetings through meeting minutes.

    • Is capable of managing a small project with partner involvement or assist a senior project manager on a larger complex project. 

    • Oversees the project requirements through every phase of the project.

  • Standards + Codes:

    • Responsible for ensuring the quality control and quality assurance program is initiated and adhered to through the life of the project.

  • Construction Administration:

    • Review and provide feedback on proposed construction cost estimates and construction schedules.

    • Perform construction observation and jobsite visits, attend OAC meetings and assist construction administrators with submittal and RFI reviews and generating documents for PR issuance.

  • Understand interdependencies between technology, operations and business needs.

Technology:

  • Strong proficiency in Bluebeam, MS Office (Outlook, Word, Excel, PPT, Project, OneNote, & Teams), Deltek Vision, and Revit/BIM360 preferred.

  • Working knowledge of AutoCAD, Adobe CC (Ps, Id, & Ai) Clarity, Deltek Vision, Enscape, MS Project, Tonic, and Sketchup preferred.

  • Working knowledge of Spec Source preferred.     

REQUIRED EDUCATION + CREDENTIALS + EXPERIENCE

  • Professional degree in architecture or related field required; Bachelor of Arts or Science in Architecture or a Bachelor of Architecture and/or Master of Architecture preferred.

  • Architecture licensure in good standing required; NCIDQ certification preferred.

  • NCIDQ, IIDA and/or other current achievement affiliations in good standing preferred.

  • CSI, LEED and/or WELL accreditation preferred

  • Experience in construction administration

  • Generally, ten years+ post-graduation experience in architecture; comparable experience in related fields will be considered
